The Administrative Assistant’s overall purpose is to handle the day to day operations at the Assessment Centre which majorly involves client service, booking in vehicles and coordinating the bidding process.
The jobholder is expected to demonstrate commitment and loyalty and perform all duties in accordance with the organization’s office routines and procedures, keeping in mind the overall business objectives.
Responsibilities
- Receive and book in customer vehicles against the booking checklist.
- Sign off checklist together with the client.
- Communicate to the client on duration for assessment.
- Queue the vehicles for assessment on a first come first served basis.
- Report all vehicle book-ins to claims department within an hour of check-in.
- Send out bidding forms to garages in accordance to the prescribed manner.
- Ensure bids from garages are received within 12 hours of bids invite.
- Prepare bids for review by the review committee.
- Cultivate relationships with existing clients and service providers.
- Ensure vehicles are properly arranged in the assessment yard.
Qualifications
Essential
- Degree or Diploma in any Business related course.
- 1 year working experience.
- Demonstrate professionalism, good judgment and decision making.
- Display high level of discretion and confidentiality.
- Excellent verbal and written communications skills.
- Working knowledge of Microsoft Office Suite.
- Good analytical and problem solving skills.
- Good time management and organizational skills.
Desired Skills and Qualities
- Certification in Insurance /Qualification in Motor Vehicle Mechanics is an added advantage
