Our client is a community-based wildlife conservation organization operating in Southern Kenya.
They wish to recruit a Grants Accountant who will be responsible for maintaining financial, accounting and grant support services in order to meet the needs of the organisation and the donors. This position is responsible for preparing financial statements, maintaining cash controls, providing financial reporting and analysis in support to the various Programmes run by the organisation.
The successful Candidate will be reporting directly to the Grants and Compliance Manager, with matrix reporting to the Chief Finance Officer.
Grants Accountant Job Responsibilities
- Prepare accurate and timely financial reports in accordance with donor requirements and ensure timeliness and accuracy
- Generate accurate and timely grant financial Information that will provide management with information for decision-making.
- Provide timely response and feedback on grant financial Issues
- Provide leading role in ensuring timesheets are prepared every month by relevant staff
- Discuss with project managers grant reports and tackle any outstanding issues in a timely manner
- Prepare monthly reports to the various project Managers and Programmes Manager / Grants & Compliance Manager
- Ensuring budget control by adequately checking all costs that are chargeable to grants.
- Participate in grant proposal development and extensions, by providing technical support in development of grant budgets that are in line with effective implementation of grants, donor requirements and the organization’s policies
- Ensure spending is within the budget limits to control overspending within projects
- Review field financial documents/Sub-grantee documents regularly to ascertain the level of internal controls in the financial process.
- Post budgets in organization’s financial system in a timely manner and as per organization’s guidelines
- Continuously monitor budget commitments for projects and advise Line Manager on any significant occurrences.
- Review all payments related to grants to ensure they are within the policy, adhere to internal control standards and donor requirements
- Ensure audit process runs smoothly by providing accurate information in a timely manner and that there are no questioned costs/qualified reports
- Ensure Grants finance issues picked during the audit and recommendations thereof are implemented within 90 days and providing the Line Manager with a quarterly report on the status.
- Contribute towards creating awareness to implementing staff/partners on grants regulations through training, meetings and monitoring
- Check and ensure Grant Accounting records and their completeness
- Perform other duties as required.

- Demonstrates well-developed interpersonal skills, excellent communication skills, both verbal and written, as well as negotiation skills
- An understanding of gender mainstreaming in project management cycle.
- Strong leadership and demonstrated ability to work independently and within a team prioritize tasks and manage multiple activities with attention to detail, meeting tight deadlines under pressure.
Qualifications for the Grants Accountant Job
- At least a Bachelor’s degree in Finance/Accounting or related field
- At least CPA part III or equivalent,
- Minimum of 4 years’ experience in an NGO. Experience should include proposal budget development, reporting and post award management
- Knowledge of USAID, EU, DFID/UKAid and other major institutional donor regulations
- Experience in sub-grantee management and capacity building
- A good understanding of the full grant management cycle
- Understanding of IFRS, IAS and ISA
- Advanced excel and analytical skills
- Computer software skills for ERP systems and Quick books
- Knowledge and experience in the conservation context is an added advantage
