Finance Coordinator at Jacaranda Health

As a rapidly growing non-profit, Jacaranda’s finances are constantly evolving. We’re looking for someone who can think strategically, execute efficiently, report accurately and thoughtfully support program managers with financial decisions. You’ll be working closely with the existing finance team and will be expected to take ownership and be hands-on in getting things done.

Responsibilities

Financial Management

  • Maintenance of General Ledger, Accounts Analysis, Reconciliations and Review of the Trial Balance
  • Ensure that all the bank and cash accounts are reconciled on a monthly basis and that outstanding items are followed up and
  • Maintenance of the Fixed Assets Register
  • Preparation & Input of Journal Entries in the system with the approval of the Finance Manager
  • Ensure accurate and timely month-end closing tasks that include, account analysis, reconciliations, accruals, journal entries, actual to forecast variance analysis
  • Ensure all incoming and out-going invoices are settled on time
  • Ensure the company complies with all PAYE, VAT, Tax return and financial reporting requirements
  • Perform day-to-day accounting functions
  • Validate various agreements, contracts, MoU and staff requests as per the contract matrix and authorization
  • Support program managers to ensure proper financial management systems are in

Financial Reporting

  • Prepare the cash request analysis; review the project managers’ budgets, variance and monthly spend report and highlight issues to follow
  • Review cash requests and disburse funds for program expenses in an organized and well documented manner to ultimately maintain the organization’s general ledger and onwards information transmission for financial
  • Be the go-between person between the Finance & Operations Manager and program managers on all finance related

Internal Control and Risk Management

  • Screen monthly expense documents from main and county office and offer feedback if there were any discrepancies or
  • Review internal controls through the review of monthly financial documents and processes, provide feedback to the Procurement Lead and the Finance & Operations Manager on control weaknesses
  • Identify top risks facing the main office and support the office to address the

Audit and Compliance

  • Ensure opening and maintaining project codes by regular updating of project information and linking of
  • Conduct budget-holder training on financial management, financial reporting, compliance, controls, KPI
  • Review compliance to KRA policies e.g. finance, contract, procurement, consultancy
  • Liaise with the external auditors and managing the annual audit process

Monitoring

  • Monitor the KPIs reflected on monthly financial reports and following up with managers to ensure adequate action is taken to minimise the risk or exposure
  • Provide relevant and timely monthly statements, reports and reconciliations together with appropriate interpretation and advice for the Senior Management
  • Monitor and follow up of audit recommendations for the main and county offices under management.

Procurement

  • Highlight any procurement control gaps or anomalies noted
  • Assist Operations Lead in procuring required program and office supplies, determining office logistics, acquiring government approvals and conducting market

Qualifications

  • Bachelors’ degree or college diploma/certificate in accounting
  • 2 or more years of related work experience in accounting, auditing of accounts, risk management, compliance, financial reporting or internal controls
  • Experience using QuickBooks and strongly proficient in Microsoft Excel
  • Excellent oral and written communication skills in both English and Kiswahili
  • Data driven decision making mentality and judgment through strong analytical thinking
  • Dependable and upholding highest level of honesty and confidentiality
  • High attention to detail and problem-solving skills
  • Proactive, self-motivated and team-oriented
  • Language: Fluent English required
  • Must be an East African resident

Desired

  • Experience or familiarity with non-profit financial management (including grant management)
