Job Summary: Our client a leading ESG (Environmental, Social and Governance) and Impact Consultancy to Business, Investors & Financial Institutions in Africa, is looking to hire a Regional Managing Director who will be in charge of Management and coordination of the office presence in the region.
Region is defined as East Africa (Kenya, Ethiopia, South Sudan, Rwanda, Burundi, Uganda, Tanzania, Djibouti, Eritrea, and Somalia).

Key Areas of Responsibilities for the Regional Managing Director Job
Human Resources
- To identify the need for new staff & make recommendations accordingly to the Managing Director, SA
- Advertising position, screening, Conduct initial interviews if required (Telephonic), Rejection of candidates, Appoint new staff, Establish duties and responsibilities and authorities of new staff, Welcome of new employee, Disciplinary Procedures
- Pay staff salaries, maintain records of PAYE & taxes and generate necessary tax documentation with accountants.
- To conduct Performance reviews for staff each June and December
- To make recommendations for staff bonuses and salary increases as per company policy at the time
- To make recommendations for Directorships and ESOP participation
- To ensure staff retention of critical or strategic resources
- Generate leave forms and ensure approval process is conducted
- Monitor staff time management (e.g. keeping appointments, working hours, etc)
- Receive timesheets and claims forms and ensure verification of such by BUM’s (Business Unit Managers or their equivalent) prior to payment of claims and salaries
- Reimburse staff for their expenses, Keep track of mileage for billing purposes, Keep track of expenses incurred on behalf of projects. Reconcile hours, claims and km’s travelled against proposals. Verify reimbursement rates to staff for travel.
- Maintain the confidentiality of staff matters (including, but not limited to salaries, bonuses, leave arrangements, personal matters, etc).
- Staff counselling and mediation between staff and management.
- Ensure implementation and update of the staff HR Manual according to Kenyan Legislation at the time
- Each staff member registered with an internationally recognised professional body for at least one area of expertise
- Establish a culture of team work within the office, as well as when utilising resources from another office.
- To respect the decision of another Regional/Country Manager when using his/her resources. Any discrepancies in this regard to be referred to the Managing Director, SA.
- Setting an example to consultants with respect to all of these requirements, as well as those pertaining to Consultants (as contained in that Job Description).
- Ensuring the execution of performance reviews in July and January of each year accordance with the HR manual, performance review standard operating procedure and existing templates
- making recommendations on salary increases and bonus payments based on these performance reviews as calculated by the allocation model available from the group CEO
- Chairing and Execution of Meetings
To maintain and execute the following meetings:
- Weekly Ops meetings with staff: allocation of resources, Quality Assurance, invoicing, project management
- Monthly Meetings with MD SA, accountant, other Directors and Business Unit Managers: updates of hiring plan, budgets, reports on revenue and operational issues
- Board Meetings twice per annum: approval of budgets and targets, strategy, dividend policy and other issues
Distribution of agenda
- Minute taking, confirmation by chairman and distribution
- Management of Company’s infrastructure and tools, including Office security & maintenance
- Booking and management of all equipment and Assets Register
- Keep track of the movement of assets / electronic equipment
- Record purchase dates and serial numbers, etc of assets
- Staff to take responsibility for assets taken from the office
- Ensuring that insurance policies are always current and correct
- Issuing of office keys and stationery, and maintaining register for such.
- Easily understood and identifiable system of files within the office
- Maintain a register of all books purchased by the company, and the borrowing of such by staff. Ensure timeous return of all books. General management of library.
- Management of all office contractors and suppliers.
- Ensure adequate and appropriate security measures, including IT security as per company procedures.
- Ensure proper functioning of company IT, hardware and update of server
- Dealing with Press, Police and other Ministries in event of Emergencies, Legal Matters and Public Relations
- Oversee Banking & Cash flow, Debt Collection
- Efficient control of funds
Payment of invoices
- To ensure all monies due to company are paid no later than 60 days post invoice. To liaise with Client regarding payment and influence Clients to pay on time.
- Managing internal budgets as approved with MD SA.
- To have joint control of banking account with MD, SA.
- Monitor Travel and Staff Logistics
- Monitor and manage bookings for courses, meetings, flights, car hire and accommodation for professional staff and ensure optimal costings for such
- Monitor regional security risks and advise head office and other offices accordingly.
- Update country files
Administration & Finances
- Internal progress reports at Operations meetings.
- Maintain approved supplier list and rates of fees
- Keep control on petty cash spent and to balance books, and ensure petty cash available for incidentals
- To provide input into the allocation of resources and strategies of COMPANY’S.
- Implement company’s filing and server system by all in the office
- Make projects easily identifiable for billing procedures, etc
- Maintain original copies of signed contracts with all company’s clients.
- Knowledge management: ensuring completion of Project Sheets in line with the QMS (i.e. to feedback lessons learnt from each project to the professional team).
- Approval of consultant’s timesheets and claims forms
- To implement and ensure use of Project Management System (PMS) by all consultants, and monthly reporting from PMS at Exco meetings.
- Ensuring optimal professional billable rates and professional fees (i.e. KES/hr) of all consultants, and to analyse these regularly.
- To maintain and update the hiring plan at least fortnightly and to maintain at least a 3 month hiring lead.
- To maintain at least 3 months of working capital (i.e. total monthly cost including salaries) in a highest possible interest 20-day bank account.
- Ensuring our compliance with the tax authorities at any given time.
- No tax penalties
- Ensuring good standing of company at all times with relevant authorities
- To maintain a profit margin of at least 25%, measured as Profit Before Tax/Professional fees (excluding disbursements, external contractor fees and VAT).
- To execute Dividend Policy as per minutes of Shareholder Meetings
- To call for and execute Shareholder Meetings twice per annum
Company’s Activities
To implement, adhere to and contribute to development and enhancement of:
- Transfer Pricing Policy,
- Allocation of Revenue Policy,
- ESOP (Employee Share Option Program),
- Group Strategy.
- To represent your region on all of the above at Group Exco and Board Meetings
- To represent Regional Shareholders at Group Board Meetings
- To attend and present at International COMPANY’S Conference and ensure participation by senior consultants and fellow Directors
Marketing
- Develop and achieve regional marketing strategy, including the development of regional offices or representative offices, associates and sub-consultants
- Preparing marketing budget
- Monitoring proposal generation and progress
- Updated contacts registers: Comprehensive list of contacts and updates of such to Marketing function in SA
- Satisfaction surveys at end of projects and annually
- Identifying marketing materials
- Determine who needs to be registered with what institutions (see below)
- Development & maintenance of regional marketing materials & activities.
- Meeting targets for the Region in terms of new work secured and executing such, as per the targets established in Table 1 (The Agreed Business Plan) and as amended and signed off by the Board from time to time.
- Relevant and pertinent information on competitors, clients and trends
- Reports into EXCO, MD SA and Board meetings as input into business strategy
- To develop a professional reputation in the market place.
- Building good database of contacts.
- Regular lists of tenders available
- Appropriately targeting Clients which support COMPANY’S’ strategy.
- Using whichever resources necessary to identify opportunities (tender searches, market research, newspapers, internet, approved supplier lists, etc).
- To not expose COMPANY’S at undue professional risk due to over-committing at proposal/marketing stages.
- To supervise contract negotiation prior to the compilation of a proposal for critical clients.
- Assisting in identifying new business opportunities (including the development of new business units)
Project Management
- Meeting deliverables as defined in the project contracts in terms of project budgets, timeframes
- Identifying bottlenecks and problems BEFORE they threaten deadlines, budgets and/or project quality.
- Ensure consultants execute progress reporting to the Client as per proposals
Client relations
- Being the first line of call for any problems and/or complaints during project execution, including debt collection and payment of invoices.
- Regularly checking with the Client during the course of the project, and especially at the presentation of the deliverables, on the level of satisfaction with COMPANY’S’ services.
- Checking with Clients re: delivery of reports and invoices, etc.
Quality Assurance
- To comply with the relevant procedures in terms of the QMS
- To be process owners of procedures required by the QMS and which fall within the BUM. This involves the maintenance of the procedures and works instructions, as well as the training of other staff members in the execution thereof.
- To enforce the approval phases prior to the release of any documents/deliverables
- To develop & update templates for any required documentation.
Regional Managing Director Job Qualifications
- Strong business acumen: ability to set direction, to develop and implement adequate operational and managerial processes that are aligned with company’s strategy.
- Ability to communicate clearly and succinctly through formal reports, presentations, memoranda and email
- Proven record of leadership, budget management, collaboration and engaging at senior levels
- Must be self-motivated, with an ability to balance multiple projects while working under tight deadlines with close attention to detail, accuracy and quality at all times Proven ability to inspire and lead a large team, coach and develop individuals
- Knowledge of ESG Systems
- Over 10 years’ experience as Regional Managing Director in a Consultancy company, NGO, Financial Institution or any other related industry.
- A master’s degree from a recognized University
