Data Administrator/ Tracing Secretary at International Committee of the Red Cross (ICRC)

Established in 1863, the ICRC operates worldwide, helping people affected by conflict and armed violence and promoting the laws that protect victims of war. An independent and neutral organization, its mandate stems essentially from the Geneva Conventions of 1949. We are based in Geneva, Switzerland, and employ some 14,500 people in more than 80 countries. The ICRC is funded mainly by voluntary donations from governments and from national Red Cross and Red Crescent Societies.

Job Summary

The Data Administrator/ tracing secretary supports the Protection office in its data management processes. S/He monitors the Restoration of Family Links (RFL) -related forms and updates the data in the system. This is a national/resident position based in Nairobi, Kenya.

Duties and Responsibilities

  1. Receives and dispatches all mails received from ICRC Delegation and Somali Red Crescent Society (SRCS)
  2. Prepares the monitoring list and forms and dispatches the same to the relevant office
  3. Updates the ICRC data base related to the opening of tracing cases
  4. On a bi-annual basis extracts a report on all pending tracing cases and shares it with SRCS Tracing Coordinators for follow up purposes
  5. Captures the feedback received into the system and ensures that all closed cases are updated accordingly
  6. Ensures conformity to the set procedures and adherence to quality standards during the data entry for all the Restoring Family Links (RFL) cases
  7. Ensures proper record management and routinely files the enclosure list of pouches dispatched and received
  8. Follows up and ensures that the tracing documents are returned to ICRC after broadcast

Minimum qualifications and required competencies

  1. Bachelor’s Degree in Business Administration, Business Management or equivalent qualification in a related field of study
  2. 2 years’ experience as a Data Administrator in a busy environment
  3. Solid experience in data management and familiar with various databases/software
  4. Fluency in written and spoken English and Somali language
  5. Excellent organizational and communication skills
  6. Ability to work independently and in a multicultural environment
  7. High level of confidentiality
  8. Proficiency in MS Office Suite
