Finance Business Support Assistant at World Food Programme

The United Nations World Food Programme is the world’s largest humanitarian agency fighting hunger worldwide.  The mission of WFP is to help the world achieve Zero Hunger in our lifetimes.  Every day, WFP works worldwide to ensure that no child goes to bed hungry and that the poorest and most vulnerable, particularly women and children, can access the nutritious food they need.

 

The World Food Programme Somalia activities include food assistance for relief, emergency school feeding, nutrition and food assistance for assets creation through provision of in-kind and cash-based transfers.

 

This position is open to qualified Kenyan candidates. Female candidates are encouraged to apply.

Duties and Responsibilities

 

Under the direct supervision of the Senior Finance Associate and overall supervision of the Head of Finance, the incumbent will be responsible for the following duties:

 

  • Maintain a filing system for easy retrieval of documents;
  • Maintain an archive system for old Finance documents;
  • Circulate payment documents for signatures in various units as required;
  • Maintain a roster for bank signatories with alternates;
  • Initiate Purchase Requests/Travel Authorizations/Travel Expense Claims for Finance Unit staff and raise Service Entry Sheet/Goods Receipt Note for the unit;
  • Scan the Minimum Monthly Closure reports monthly;
  • Update and track attendance sheets and leave records;
  • Book flights and tickets as required for staff in preparation of duty travel;
  • Facilitate the processing of payments on behalf of Area Offices by forwarding Area Offices payments to Finance Officer for disbursement;
  • Manage and organize unit meetings;
  • Perform other related duties as required.
Minimum Qualifications

 

Education: Completion of secondary school education. A post-secondary school training or certification in Accounting, Finance or related field is an advantage.

 

 

Experience:

 

At least three years of progressively responsible work experience in Finance, Accounting or Administration field.

 

 

Language:

 

Fluency in both oral and written communication in English is a requirement.

 

 

Knowledge:

Experience utilizing computers, including word processing, spreadsheet and other WFP standard software packages and systems. General knowledge of UN system policies, rules, regulations and procedures governing the area of work.
