Human Resources Assistant at United Nations Office at Nairobi

The United Nations Office at Nairobi (UNON) is the United Nations headquarters in Africa and the representative office of the Secretary-General. We support programme implementation of the United Nations Environment Programme (UNEP) and the United Nations Human Settlements Programme (UN-HABITAT) globally, as well as other United Nations offices in Kenya, by providing administrative, conference and information services (www.unon.org).

This post is located in the United Nations Office at Nairobi (UNON), Human Resources and Management Service (HRMS), Office of the Chief. Under the general supervision of the Chief, Human Resources Management Service, the incumbent will perform the following duties:

Responsibilities

• Reviews and assigns tickets in the HRMS Unite Self Service Desk to the right Staff Pay and Benefits team within 24 hours, assisting with monitoring/tracking reports
• Assists in the review and processing of data pertaining to conditions of service
• Reviews and processes requests for entitlements and claims
• Maintains files (both paper and electronic) and databases for HRMS and Staff Pay and Benefits team
• Maintains and updates records in Umoja for locally recruited staff
• Performs, under minimal supervision, the full range of office management and administrative support functions; provides direct assistance to the Chief, Human Resources Management Service (HRMS) and other HR Unit Chiefs
• Ensures smooth and efficient information flow within HRMS; prepares and processes confidential information; records exceptions under delegation of authority; maintains MEU/disciplinary-related correspondence; assists in the development of office administrative systems and procedures
• Researches, compiles and summarizes background materials for use in preparation of reports, briefs, speeches, consolidates responses within HRMS, etc.
• Provides assistance in the coordination of service-wide activities (meetings, training, etc.), special projects and events
• Orients new staff to relevant administrative procedures and practices and provides general assistance to other office support staff, as required; may coordinate the work of office support staff in providing meetings servicing/administrative support to various sessions of commissions and other bodies
• Attends meetings, prepares minutes, monitors follow-up activities
• Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports
• Carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style
• Responds to complex information requests and inquiries on entitlements and benefits related matters (e.g. answers requests requiring file search, etc.)
• Assists in the preparation of presentation materials using appropriate technology/software
• Maintains calendar/schedules; monitors changes and communicate relevant information to appropriate staff inside and outside the immediate work unit
• Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.)
• Performs other related duties as assigned

Education

High school diploma or equivalent. Supplemental courses/training in administration, human resources or related fields is desirable. Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat. Successful passing of the Administrative Support Assessment Test (ASAT) in English at the United Nations Headquarters (UNHQ), Economic Commission for Africa (ECA), Economic and Social Commission for Western Asia (ESCWA), United Nations Office at Geneva UNOG), United Nations Office at Vienna (UNOV), International Criminal Tribunal for Rwanda (ICTR) or International Criminal Tribunal for the former Yugoslavia (ICTY) may be accepted in lieu of the GGST. The GGST is administered to applicants when required before the administration of a written assessment and/or interview.

Work Experience

A minimum of five (5) years of experience in general office support, administration, human resources or related area is required.
Experience in application of UN Staff Regulations and Rules in an operational environment is desirable.
Experience in administering a broad range of personnel actions, entitlements and benefits using SAP/Umoja is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of another official United Nations language is an advantage.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Special Notice

Appointment against this post is for an initial period of one year and may be subject to extension. Appointment against this post is on a local basis.
