Program Assistant, Access Accelerated at PATH

Since beginning our partnership in 2018, PATH and Access Accelerated have begun to lay the foundation for targeted, coordinated, multisector action in support of national Non Communicable Diseases (NCD) strategies in Kenya, Ghana, and Vietnam. PATH and Access Accelerated have begun to strengthen the NCD response in the three countries by developing a foundation of evidence-based interventions that aim to: 1) strengthen policy environments and increase availability and use of high quality data for decision-making and coordination; 2) identify and address supply chain challenges; and 3) implement stronger PHC models for NCD services.

PATH will work closely with Access Accelerated to amplify and build on our progress in order to improve access to prevention, treatment and care for NCDs as part of primary health care, through local ownership and engagement that is guided by data and technical support and fueled by catalytic investment. PATH will focus on strengthening existing systems and integrating efforts already launched in Kenya to address NCDs. PATH will work closely with the Ministry of Health and local partners across sectors to assess the supportive policies and interventions required to influence the model of service delivery and increase access to NCD treatment and care.

PATH is seeking a program assistant who will support the NCD project implementation. The Program Assistant will be based in Nairobi, Kenya and will report to the Regional Service Delivery Advisor.

Specific duties and responsibilities:

  • Provide meeting planning and logistics activities may include scheduling internal and external meetings, workshops, and other events as necessary, as well as coordinating event-related logistics, maintaining database of project contacts, and drafting meeting notes and coordinating review, distribution, and filing.
  • Provide general administrative support to maintain coordinated and organized team logistics. This may include working closely with the NCD program team and the project administrator to initiate the procurement process for project activities, assisting the NCD and MoH Department of NCD’s (DNCD) teams with travel planning arrangements and post-travel reimbursements, including cheque requests, meal conference forms, etc
  • Coordinate procurement of both services and supplies and working closely with the procurement and operations team to manage vendors and suppliers.
  • Work with the project Administrator (PADM) to provide support with financial engagements for NCD project implementation (50%).
  • Provide support to special events, workshops and conferences as may be needed, both to support the project implementation.
  • Maintain the electronic and paper filing systems to ensure information is readily and easily accessible. This will include regular updates of assigned email distribution lists.
  • Liaise with stakeholders, MoH DNCD and county teams with additional administrative support that may be required.
  • Assist in organizing stakeholders and other AA project related meetings and preparation of meeting reports as appropriate.

Required Experience

  • A degree or diploma in a relevant project administration field.
  • A minimum of three years of directly related administrative and program support experience, or an equivalent combination of education and experience.
  • Advanced Microsoft Office skills, especially Outlook, Word, Excel, and PowerPoint.
  • Excellent interpersonal and communication skills.
  • Ability to work with multiple teams across diverse background
  • Strong organizational skills.
  • Adaptable to changing priorities.
  • Effective time management.
  • Experience working under deadlines.
  • Proven ability to work in a team environment with minimal supervision.
  • Fluency in English, including excellent written and oral communication skills.
  • Prior experience working with MoH and familiarity with NCD work
  • Demonstrated prior experience supporting large meetings as well as working with multiple vendors is an added advantage

Must have legal authorization to work in Kenya.
